How to choose a copier for a Sydney office

Seven questions settle it. Answer them in order and the right photocopier usually picks itself, or use the finder further down for a quick suggestion.

  • Seven questions, in order
  • A3 against A4
  • Volume sets the size
  • A grade to suit the budget

Does anyone in the office print A3?

If the answer is yes, even once a month, get an A3 copier. The same holds if you want two or more paper trays. If the answer is no and fewer than about ten people share it, an A4 model does the job. See the A4 office printers.

Count your pages first. The machine and its running cost follow from that number.

How many pages a minute do you need?

Go by headcount. Up to 5 people: 20 to 25 pages a minute. From 5 to 15: 25 to 35. From 15 to 30: 35 to 45. Past 30, buy faster again, or put two machines on the floor so nobody queues.

How many pages do you print in a month?

Your current supplier's meter readings give the real number; your toner orders give a rough one. That number decides the size of the machine and most of what it costs to run. What a copier costs across a full term.

Do you really need colour?

Only if you use it. Each colour page costs more than a black one, so an office that seldom prints colour saves with mono. If colour is part of the work, have it, and make black the default on every computer.

Is a finisher worth having?

Yes, when stapling, hole punching or folded booklets are a weekly job, because a finisher does it as the pages come out. A few times a year? A desk stapler costs less.

What should the scanner do?

Plenty, since most offices now scan about as much as they print. Ask for a single pass duplex feeder, scan to email and to network folders, and secure release by PIN or card, so a payslip or a patient letter never sits in the tray.

New, renewed, refurbished or used: which grade?

New if it will work hard for years. Renewed if you want a machine that looks and runs close to new for less. Refurbished for value; it is what most offices choose. Used when the outlay matters most. Every grade in the range.

    Questions

    Choosing a copier: straight answers

What is the best copier for a small business in Sydney?

Usually a refurbished A3 colour copier that runs at 25 to 35 pages a minute. Where nobody prints A3, an A4 multifunction printer instead. Either way, the right one matches your monthly pages, keeps the page rate low and is serviced by whoever supplied it.

Should a small office get A3 or A4?

A4, unless somebody prints A3 or you need extra trays. Then A3.

What is the fairest way to compare two copiers?

Put them on one sheet: speed, paper size, colour, the black page rate, the colour page rate, what those rates include and who does the service. The brands compared does the same job for the makers.
