What it costs

How much does a copier cost in Sydney?

Copiers rent from $15 a week plus GST. To buy, the range runs from a compact A4 office printer to a fast new A3 colour photocopier, so the real figure depends on the machine. Call it a copier, a copy machine or an MFP; below are the things that push its price up or down, the running costs quotes leave out, and how to get your own numbers in writing.

  • Rental from $15 a week plus GST
  • Page rates on paper

The payment is the number everyone remembers. The real cost adds every page printed and the charges that only show up on the bill. Enter yours to see it by the month, by the year, and through to the end of the agreement.

What makes one copier cost more than another?

  • A3 or A4. An A3 machine is the dearer of the two.
  • Speed. Faster costs more, so buy the speed your volume needs and no more.
  • Colour. A colour copier is dearer to buy, and each colour page costs more than a mono one.
  • Grade. From the top: new, renewed, refurbished, used. An ex demo machine, when one turns up, sits near new.
  • Extras. A finisher, more paper trays or a high capacity tray all add to it.
  • How you pay. Cash on the day, or monthly over three, four or five years.

Payments, pages and extras, added up over the whole term. That is the price.

What costs do quotes leave out?

  • Minimums. A monthly floor on pages or dollars, billed even in a month when the machine barely runs.
  • Rate reviews. A page rate fixed today can be lifted each year under some agreements. Find out how often, and the cap.
  • Toner heavy pages. Rates are set on a typical text page. Brochures, photos and full colour layouts use much more toner, and some contracts add a charge for that.
  • Parts and labour. Does the page rate pay for every part and every call out, or only some? Ask for the exclusions in writing. And with no service agreement, you pay for each technician visit and each part separately.
  • Toner freight. Included toner can still come with a delivery charge on every order.
  • Getting it running. Some quotes charge separately for delivery, network installation, scanning setup and showing staff how to use it. Ask. With Sydney Copiers all of that is included in the price.
  • Insurance. A rented or leased copier usually goes on your business insurance, and damage the agreement excludes is your cost.
  • Term end. Watch for full payments that continue until notice arrives, and for fees to pick up the copier or clear its hard drive.
  • Early exit. Expect the payout to be close to the payments still to come, plus anything owing on service.
  • Paperwork fees. An establishment or documentation fee can sit on top of some finance agreements.
  • Software. Follow me printing, scan to cloud apps and document software are sometimes billed monthly on their own.

Every one of these is normal in the industry, and none should catch you out. Get each item from every supplier in writing, ours included, before anything is signed. All fourteen clauses to check.

Why does the running cost matter as much as the price?

Because over a three to five year term the pages can add up to more than the machine, and in a busy office the gap can be wide. The page rate is the running cost: on a service agreement it covers toner, parts and repairs in one number.

So a low purchase price with a high page rate can be the dearer deal. Compare quotes on the mono and colour page rates, in writing, along with what each rate includes.

What does a photocopier cost per month?

Two numbers added together: the rental or lease payment, and your pages at the agreed rates. Light printing, and the payment is most of the bill. Heavy printing, and the pages take over. Send us your monthly volumes and we will work out both.

Why is there no price on any machine?

Because the same model can differ by its page count, the extras fitted and how you pay, a printed figure would mislead more buyers than it would help. Tell us how you print and you get two or three machines priced for you, in writing. Ring, or use the form here.

Questions

Copier costs in Sydney: quick answers

What is the price range for a photocopy machine in Sydney?

Wide. At one end, a compact A4 multifunction printer; at the other, a fast new A3 colour copier. Copiers rent from $15 a week plus GST. Tell us how you print and you get real figures back.

What should an A3 copier cost?

It turns on the grade first: a refurbished A3 colour copier is a fraction of the price of a new one. Then speed and colour. Ask for a new and a refurbished one priced next to each other.

What cost per page should we be paying?

No single figure is right for everyone, because the machine and how much you print move it. Line suppliers up like for like: the mono rate, the colour rate, and the list of what each covers.

What decides the price of a photocopier machine?

Five things set it: A3 or A4, pages per minute, colour or mono, the grade, and the extras fitted. Then, across the term, the page rate. Tell us how you print, and you get both an outright price and a weekly rental for every machine that suits.

What do I pay on top of the monthly payment?

The pages, first. After that it depends on the contract: perhaps a monthly minimum, yearly rate reviews, freight on toner, and fees when the term ends. Each is explained in the list above.
