Term ending

Copier lease ending in Sydney? Start with the notice date

There are four usual endings to a copier agreement. Which is best for you comes down to what yours says and how busy the machine still is. First job: find the notice date. Then send us the agreement for a plain reading.

  • Notice date first
  • Four ways to finish
  • A plain read of yours
  • No obligation

When do you have to give notice?

Often months before the end date, and in writing. Many copier agreements want notice well ahead of the finish, and without it they keep going at the same payment. Look under headings such as term, renewal or termination, note the date in a calendar, and set a reminder a month before it.

Cannot find it, or cannot make sense of it? Upload the agreement below and we will point to the clause.

Your notice date is the deadline that matters. Find it today.

What are the four ways a copier agreement can end?

  • Swap it for something newer. The old machine goes back and a fresh agreement starts on a newer model, often for a similar or lower payment.
  • Hold on to it. If it still does the job, some agreements offer a lower payment or a buyout. Whether yours does depends on its end terms.
  • Go down a grade. Print volumes dropped? Moving to a renewed or refurbished copier on rental can lower the payment, and the pages still look right.
  • Own the next one. We quote the outright price beside the rental, and you decide.

Not sure what you signed? Send it over.

Locked into a lease, rental or managed print deal, or holding a quote that does not add up? Send the paperwork. The reply sets it out plainly: your cost per page, any minimum each month, when it ends, how much notice it needs, and what a change would cost.

Phone photos of the pages are fine. No obligation.

What does a better next agreement look like?

  • A term that matches how long the machine will actually stay.
  • Page rates you can check against the meter.
  • No minimum charge pitched well above what you really print.
  • End terms on paper, so you know now what happens when the term ends.
  • Replacement cover lasting the whole agreement, as every machine on our service agreement has.

How should the changeover be timed?

Work back from the end date and allow a month. The new copier is booked for the day the old one leaves, so you are not paying for two. Most machines are installed within about a week of signing; anything ordered new from the maker can take longer, and we say so before you sign.

Across Sydney the day itself is booked, not guessed: a loading dock slot and goods lift in a CBD or North Sydney tower, a time that suits the warehouse in Huntingwood or Moorebank, and a delivery run planned around the traffic.

Replacement warranty

What if it fails? We replace it. Any year of the agreement.

If a machine on our service agreement fails, we replace it. That holds for new and secondhand machines alike, and for every way of paying: rental, lease, finance or an outright purchase. The cover lasts as long as the agreement does, every year of it.

A new copier normally carries the maker's warranty for 12 months, covering hardware but not consumables. Once that year is up, the service agreement carries the cover. The full terms of the replacement warranty are written into your agreement.

Questions

Copier lease ending: what people ask

How far ahead must I give notice on a copier lease?

It is in your agreement, and it can be several months. Send it over and we will find the line that matters.

Is keeping the old copier an option?

Sometimes. That depends on the type of agreement and how it ends: some let you buy it out or pay less to keep it, others want the machine returned. Send it in and you will know which.

What if I let the end date go by?

Usually nothing changes, and that is the problem: the payments keep coming at the old figure until someone gives notice. Of the four endings, doing nothing tends to cost the most.

Will we pay for two copiers during the changeover?

Ideally not at all. The new machine is booked in for the week the old agreement ends, so any overlap is kept to the minimum.

Do I have to rent the next one?

No. Most offices do rent, from $15 a week plus GST, but a lease or finance can be arranged, and any machine can be bought outright.

Our contract is over and the copier is still in the corner. What do we do?

Check ownership first. Many leases and rentals leave the machine owned by the finance company, which wants it returned. If the machine is yours, run it for as long as it earns its place, or trade it in towards something newer. Not sure which applies? Send the paperwork.
